Minute by the Vice-Chairman re the postponement of the following Commission meeting, with the resolution that all resolutions passed in the previous meeting be carried out effective immediately, 29th October 1920

1. Consideration of report No.5 of expenditure authorised under resolution 3 of the 25th meeting of the Commission presented by the Controller and Financial Adviser, with the resolution that these recommendations be accepted

2. Consideration of a report by the Controller and Financial Adviser re the purchase of a Sunbeam car for the newly appointed Assistant Director of Works for Macedonia Area as a requirement to visit and care for cemeteries in Eastern Europe, with the resolution that drachmae 20,000 be expended for this purpose

3. Consideration of a report by the Land and Legal Adviser re the account with Enterprises Sommerville and a discussion on advances on dressed stone to be paid by the Commission, with the resolution that the Commission, rather than paying wages at a monthly rate of 100 per cent, pay wages at 95 per cent of the work fully completed until a reserve of £10,000 is reached to ensure security on advances which may be released once the stone has been completed and delivered and no further advances are requested

4. Consideration of a report by the Chief Accountant, France re the replacement of Commission cars in St Omer, with the resolution that the old cars be sold for auction and that a sum not exceeding £1440 be expended on the purchase of 5 new Ford Touring cars and 3 new Ford Box cars

5. Consideration of a report by the Principal Assistant Secretary recommending an increase in the payment of subsistence allowance to the Foreman Gardener for France Area following an increase in the cost of living, with the resolution that subsistence allowance be increased from 30/ to £2 per week in the France and Belgium areas

6. Consideration of a letter from Colonel Osborne, Secretary-General to the Canadian Agency re the expenses of the Canadian Agency, with the resolution that a sum not exceeding £2,500 be expended on establishment changes in the Canadian Agency for the period ending 31st March 1921

7. Consideration of a report by Director of Works re the costs of supplying and erecting crosses and headstones in cemeteries in Italy, with the resolutions that the Commission place three contracts with Messrs, Portoni and Zecchinati for four crosses at a sum not exceeding lire 60,000, one cross at lire 45,000, five bronze swords at £100 and that lire 10,000 be authorised for contingencies

8. Consideration of a report by the Director of Works re the partial release of security deposited by Messrs Portoni and Zecchinati in the form of stocks and bonds in the Banca Popalare, Vicenza under the name of the Commission as a guarantee of a completion of the work, with the resolutions that following the progression of work, security related to Giavera and Tezze cemeteries be reduced to lire 12000 and security related to Montecchio, Precalcino and Dueville cemeteries be reduced to lire 22,000 and that both are to be released

9. Consideration of a report by the Director of Works re headstone contract no. 15 and the recommendation to increase payment to Mr J S Morren following a rise in wages in accordance with the United Operative Mason’s Association of Scotland, with the resolution that Mr J S Morren be paid an extra £50.19.8

10. Consideration of a report by the Principle Assistant Secretary re the criteria for granting free return passages to Australian Personnel employed by the Commission seeking leave to Australia, with the resolution that free return passages be granted

11. Consideration of a report by the Director of Works re the tender by Portoni and Zecchinati for the supply and erection of headstones in Cremona Cemetery, with the resolutions that the tender be accepted at a sum not exceeding lire 22880, that lire 3.120 be expended on contingencies and lire 4000 be expended on cutting personal inscriptions on said headstones

12. Consideration of a report by the Director of Works re transport estimates for the period 1920 to 1921 and the recommendation to adopt the adjustments suggested in column 5, with the resolution that a sum not exceeding £5500 be expended on mechanical transport for Italy
